The size and the general look and feel of event rooms can have a huge impact on the success of an event.

Usually event venues have a number of rooms available to hire to cater for different types and sized events. Stephanie Ellrott from RIBA Venues said that “it is important to choose the right room for your event. Too many people get too caught up in the location and forget about the size of the room that is needed. Of course the location is a critical aspect however so too is the size and layout of a room.” She went on to say that “If a conference room is too big or too small it can negatively affect delegates.”

It is recommended that businesses understand how many delegates will attend before looking at venues so that they know exactly what sized venue to look for as Ms Ellrott explained: “Businesses need to fully understand how big a room they are going to need prior to looking at venues. Only when they have a full list of delegates and attendees can they begin narrowing down their search.” She went on to say, “I recommend that anybody looking into conference venues look at the pros and cons of small, medium, and large rooms. This gets them thinking about what is best for their event rather than rushing into choosing a venue.”

Deciding on the perfect size for a venue is going to save businesses money and keep an audience engaged. Ms Ellrott said that “If a room is too big, it will separate attendees from the speaker and make the event look unpopular, and too small a room is going to make people feel claustrophobic which will result in lapses of concentration.” She explained “that rooms are designed for particular events. Small conference rooms and typically designed for board room style meetings where people can talk easily to one another. Medium to large sized rooms are typically designed for an auditorium style layout.”

“Whatever conference room size you require, there are other things to consider,” says Ms Ellrott. “Conference rooms need to be well ventilated and to have a good Wi-Fi connection. They also need to have catering facilities and where applicable have disabled access. It’s simply all about making everybody feel comfortable.”
